Office Deep Cleaning in Karachi: The Whole Job Is Shaped by the After-Hours Window, and a Two-Hour Evening Visit Is Not a Deep Clean

An office cannot be deep-cleaned while it is being used. That sounds obvious, and yet it decides everything about how the work is scoped, priced and sequenced — the whole job has to fit inside a window that opens when the last person leaves and closes when the first arrives. In most Karachi offices that window is nine hours on a weeknight, or a full day on Sunday, and almost every disappointing office clean we are called in to correct was sold without anyone counting the hours. This page is about working inside that constraint. It sits under our broader commercial cleaning service, which covers scheduled janitorial, disinfection and handover cleaning across contract types.

The window is the specification

Start with the arithmetic, because it settles most arguments. A typical Karachi office floor of 8,000 to 12,000 square feet — open-plan workstations, four to six cabins, two meeting rooms, a pantry and a washroom bank — takes a crew of six roughly eight to ten working hours to deep clean properly. Not to wipe: to move furniture, extract carpet, degrease the pantry, descale the washrooms, dust ducts and light fittings at height, and hand back a floor that is dry and usable.

So when a client asks for a deep clean between 6pm and 8pm on a Tuesday, we say plainly that what they are describing is a detailed surface clean. It has value — it is simply not the same product, and calling it a deep clean sets up a complaint three weeks later when the carpet still smells. Two hours buys you desks, glass, high-touch points and washrooms done carefully. It does not buy you extraction, and it does not buy you anything that needs to dry.

The practical result is that we schedule office deep cleans in one of three shapes. A Friday night into Saturday run, which gives the longest continuous window in a Mon-Sat office. A Sunday run, which is the cleanest option and the one we recommend for anything involving wet carpet work. Or a phased weeknight programme, where we take one zone per night across a week — carpet in the east wing Monday, west wing Tuesday, pantry and washrooms Wednesday, so that no area is ever wet on a working morning. Phasing costs slightly more in mobilisation but it is often the only option for a trading floor or a support centre running late shifts.

Drying time, and why carpet decides the calendar

Office carpet is where the window bites hardest. Hot water extraction is the deeper method — it flushes soil out of the pile and out of the backing rather than lifting what is on the surface, and in Karachi humidity it needs six to twelve hours to dry with air movers running. Broadloom over a jute or felt underlay dries slower than glue-down carpet tile. If the floor opens at 9am and we finish extraction at 2am, that is seven hours of drying with the air conditioning off, which is marginal.

Encapsulation is the alternative: a crystallising polymer worked into the pile with a counter-rotating brush, which dries in two to four hours and is vacuumed out on the next pass. It is a lighter clean that will not resolve heavy traffic-lane soiling, but it fits a weeknight. For an office on a maintenance programme we normally recommend extraction once or twice a year on a Sunday with encapsulation in between. The method detail is on our carpet cleaning page, and the same reasoning applies to fabric task chairs and reception upholstery, which hold moisture in the foam exactly as a domestic sofa does.

One thing we will not do is extract carpet on the last night before an office opens if the air conditioning is going to be shut off behind us. A carpet that is still damp at 9am does not dry faster with two hundred people walking on it; it holds the soil they bring in, and in this climate a wet backing left closed overnight is how an office acquires a persistent musty smell that then gets blamed on the cleaning.

Server rooms, UPS rooms and live electricals

Every Karachi office has more live electrical equipment than its floor plan suggests, because almost every one of them runs a UPS bank and many run an inverter or a generator changeover panel indoors. This is the part of the job where an untrained crew does real damage, and where the rule is simple: no free liquid, ever, in a room that cannot be powered down.

In the server or comms room we work dry and low-moisture only. Vacuuming uses a HEPA-filtered unit, so dust lifted off the floor and cabinet tops is captured rather than pushed into equipment intakes. Cabinet exteriors, cable trays and rack tops are wiped with a barely damp anti-static microfibre, never with a spray bottle held at rack level — the spray goes onto the cloth, away from the rack, so nothing atomises near a fan intake. Raised-floor voids are vacuumed, not mopped. Suppression heads, detectors and air-sampling pipework are left alone entirely, and we tell IT in advance so nobody is surprised by a dust event on a detector.

The same discipline applies on the open floor: floor boxes and cable grommets are lifted and vacuumed rather than flushed, trunking behind workstations is dusted dry, and the pantry water heater, DB panel and any exposed changeover switch get dry treatment only.

Workstation and keyboard hygiene, done properly

The desk surface is not the dirty part of a workstation. The concentrated microbial and soil load in an office sits on the keyboard, the mouse, the phone handset and mouthpiece, the desk edge where forearms rest, the chair armrests and the underside of the desk where hands grip to pull the chair in. Those are the surfaces that are touched hundreds of times a day and cleaned almost never, because a daily crew moving through 120 desks in ninety minutes cannot lift and detail each one.

On a deep clean we do them individually. Keyboards are inverted and cleared with compressed air first — food debris in an office keyboard is real, and it matters for reasons beyond hygiene, which we come to below — then the keycaps and the shell are wiped with 70 percent isopropyl on a lint-free cloth. Isopropyl rather than a quaternary disinfectant, because it flashes off in seconds and leaves no residue to migrate under a key. Never a wet wipe, never a spray onto the device. Mice, handsets and headset earpads get the same treatment. Monitor screens are done with a dry or barely damp microfibre and nothing alcoholic, because alcohol degrades anti-glare coatings.

We ask that staff clear personal items before the shift, and we do not open drawers or move papers — an uncleared desk gets a perimeter clean and a note. That limitation is deliberate: the alternative is a crew handling confidential material at 2am with nobody from your side on the floor.

What a deep clean adds that your daily crew already does not do

This is the section that costs us money to write, and it is the most useful one on the page. If you already have a janitorial contract or in-house housekeeping, a large part of what deep-clean proposals list is work you are paying for twice.

Your daily crew should already be covering: desk surfaces, glass partitions and door glass, bins, washroom servicing and consumables, pantry counters and sink, floor vacuuming and mopping of hard floors, reception and lift lobby, and daily high-touch disinfection of door handles, lift buttons and handrails. If those things are not happening, the fix is a better daily specification and supervision, not a quarterly deep clean. A deep clean cannot compensate for a weak daily spec; it just resets the floor once and then watches it decay at the same rate.

A quarterly or half-yearly deep clean should be adding: carpet extraction or encapsulation, fabric chair and reception upholstery cleaning, high-level dusting above two metres — duct grilles, diffusers, cable trays, tops of partitions and cupboards — pantry degreasing including the microwave and fridge interiors and the wall behind the counter, washroom descaling of taps, cisterns, urinal traps and floor grout, internal glass at height, blinds, floor boxes and cable management, individual workstation detailing, and hard-floor restoration where the office has vinyl or stone.

If a proposal you are holding lists “desk wiping” and “bin emptying” as deep-clean line items, ask what your daily contract is for. We would rather quote you a shorter, more honest scope and keep the account than win a larger one that you resent in the second year.

Access, security and the practicalities of a night shift in Karachi

Night work in a commercial building has its own logistics, and getting these wrong is the most common cause of a lost window.

Building permission. Towers on Shahrah-e-Faisal, I.I. Chundrigar Road and in Clifton generally require prior notice to building management for after-hours entry, and many require a written NOC and a staff list with CNIC numbers submitted a working day or two in advance. We provide that list on request as a matter of course.

Lifts and service access. Check whether the service lift runs after hours and needs an operator. Carrying an extraction machine up eleven floors because the goods lift was switched off at 10pm costs an hour of the window, and it has happened to us.

Power and air conditioning. Extraction machines and air movers draw meaningfully, and buildings that drop to generator supply overnight sometimes shed the floor circuits we need. We confirm this in the walk-through. We also ask that air conditioning stays on during and after wet work, because drying time in a sealed, un-conditioned Karachi office roughly doubles.

Client representative. Somebody from your side — admin, facilities or security — should be present at the start and end of the shift. We do not want custody of an empty office and you should not want to give it. Handover at the end includes a walk of the floor with that person.

Where cleaning and office pest work meet

The pantry and the keyboards are the same problem seen twice. Food debris in an office concentrates in three places: the pantry counter and the gap behind the fridge, the bins at desks where people eat lunch, and inside keyboards. All three sustain Blattella germanica, and an office with a persistent cockroach complaint almost always has one of the three unaddressed. Gel baiting works far better once the competing food source is gone, which is why we sequence a deep clean before a treatment rather than the reverse. See office pest control and the wider commercial pest control programme. Offices with roof tanks feeding washrooms and pantry taps should also be on a commercial water tank cleaning cycle, independent of the cleaning contract.

Pricing

Office deep cleaning is quoted on a walk-through, not from a published per-square-foot rate — we would rather say that than publish a number we would have to revise on site. The variables that move the price are floor area, carpet type and quantity, washroom fixture count, ceiling height for high-level work, whether the window is a single Sunday or phased weeknights, and how many workstations are individually detailed. The walk-through takes about forty minutes and produces a fixed quote with a written scope.

Where we do publish bands is the pest side, because those are contracted monthly and standardised: PKR 5,000-9,000 per month for a small office, PKR 10,000-18,000 for a mid-size site and PKR 18,000-30,000 for a multi-storey corporate building. Offices in Bahria Town carry a flat PKR 800 fuel surcharge per visit, waived on contracts of three or more visits. Cleaning and pest scopes can sit on one contract and one invoice.

Booking

WhatsApp +92-311-1101810 or email contact@nestfumigationservices.com with your floor area, your building and area, and — most importantly — the window you can actually give us. Whether that is a Sunday, a Friday night or two hours on a weekday changes the answer more than the square footage does. We will book a walk-through, ideally with your facilities or admin lead present, and quote a fixed scope after it.

Common questions

How often does an office need deep cleaning?

Quarterly for a densely occupied floor, call centre or shared office; half-yearly for a normal corporate floor with a competent daily crew; annually for a low-density office with hard floors and few soft furnishings. The interval is driven by occupancy density and carpet area far more than by total size.

Can you work during office hours?

Parts of it, zoned — a meeting room, a single cabin, a washroom bank out of service for two hours. Carpet extraction, high-level dusting over occupied desks and anything involving machinery noise are not compatible with people working. If daytime is the only option we phase it room by room, and it takes longer overall.

Will the carpet be dry by Monday morning?

If we extract on a Sunday with air movers and the air conditioning running, yes. If we extract at 1am on a weeknight in a building that shuts its air conditioning at midnight, honestly, it is tight, and in that situation we would use encapsulation instead and tell you why. We would rather give you a lighter clean that is dry than a deeper one that is damp at 9am.

Do you clean inside the server room?

Yes, dry and low-moisture only, with HEPA vacuuming, anti-static microfibre and no spray bottles at rack level. We ask for IT to be informed in advance and, in most sites, present. We do not touch cabling, patching, detectors or suppression equipment.

We already have a janitorial contract. Is this duplication?

It should not be, and if a quote reads like duplication then it is. Daily crews cover surfaces, floors, washroom servicing and bins. A deep clean should be adding carpet and upholstery work, high-level dusting, pantry degreasing, washroom descaling, blinds, floor boxes and individual workstation detailing. If your daily spec is failing, fix the spec first — a deep clean will not hold.
